Exchange Rates Instruction Manual

In the LoMag warehouse program, the user has the option to change the currency of the invoices and sales document other than the Polish Zloty. This function of software enables the client to use the software, even if he is outside from the Geographical region of Poland.

1. Currency Handling

In order to activate different currencies in documents, click the program tab present at the top of the menu. Select the settings option from the drop-down menu. You can also use 'CTRL+U' shortcut key or directly click on the settings option.

The window of settings will be opened in front of your screen. Move your cursor to the 'Calculation' tab. This tab is responsible for changing the currency of the sales document

Now in currency handling option check the following the following boxes.

  1. Enable currency support in GRN.
  2. Enable currencies on invoices and orders.
  3. Allow a change in VAT currency on invoices.
  4. Place information about currencies on printouts of invoices and orders.

By default, the currency of LoMag software is Polish Zloty (PLN). In order to change this, click on the drop-down menu and select the currency.

1.1 Adding a New Currency

To display a list of available currencies in LoMag, click on the dollar icon. This will open a new window.

Now to edit the available list of currency, click on the edit option. The general edit window will be appeared in front of user. To set the dimension of the currency, click on the show deviation setting option.

This will show the window of all parameters related to specific currency. After checking the parameters, click on the hide deviation settings option.

To add a new currency in the Currency window, press the Add icon. A new window will open in which the LoMag client can define its parameters. Define the currency name, currency code and its symbol. Expand the dimension window and set the required parameters.

After setting all the parameters, click the Save button.

After this action the new currency should appear on the list of available currencies.

Note! For the correct collection of rates, the currency code must be consistent with the table of the National Bank of Poland (NBP).

The LoMag warehouse program enables you to display the list of currencies, click on the items tab and select the Currency rate option from the drop-down list.

This will open the list of available currency. Click on the drop-down list and 'Koruna Czech' is also present.

2. Use of Currencies in Documents

In order to create a VAT invoice with the use of currencies in the document, click the invoice option present in the main menu. Complete the data; customer's data, document number, issue date, date of sale and other parameter according to previous manual.

The user can select the currency for the document from the drop-down menu as shown in the screenshot below;

If you want to use the rate of currency collected in the past then use the drop-down menu of the currency rate (sorted from the youngest to the oldest dates) and choose the date you are looking for. We will discuss this method in detail later on. Change the currency of the documeny from PLN to CZK.

Add the item to the document, this will block the currency selection - all other goods must be in the same currency. In our example, we declared a Celeriac product for which we expect 5.99 Czech Koruna net per pcs with a currency rate of 5 Feb 2019 which is 1CZK = 0.1669 PLN.

Now click on the calculate button, the program will automatically follow the CZK to PLN conversion.

2.1 Changing the VAT Currency

In LoMag, we can set different VAT currency as comapred to the currency of the document. Check the picture below in which we have used PLN as a VAT currency and CZK as a currency of the document. When you change the VAT currency the option of VAT currency will automatically unblocked.

After doing this, click on the print-preview option and check its print version.

3. Checking Existing Currency Rates

In order to check the previous exhange rates, click on the exchange rate button in the document. Or simply move your cursor to the items tab and select the currency rate from the drop-down list.

Select the currency for which you want to check the history and range of displayed dates. In our case, we have selected CZK currency.

3.1 Adding, Editing and Deleting Currency Rates

In order to add the currency rate in the currency window, click on the add option. A new window will be opened infront of user, where you can define the conversion rate, currency name and date of the currency rate.

By double-clicking with the left mouse button on one of the currency rate on the list (or using the Edit button) a edit window will open. Change the parameters and save changes by clicking on save option.

If you want to delete a given rate from the list, select the appropriate entry and use the Delete button. A dialog box will pop out in which you can confirm the decision by clicking on the Ok button.
