Payment records module displays all invoices from all contractors. It also allows you to view unpaid invoices of a selected contractor and easily settle them. Additionally, you can link bank payments to the contractor’s invoices.
To open the Payments Register module, click the module icon Payment record and select it from the dropdown.
Next, choose "Sales Register" to settle VAT invoices for customers or "Purchase Register" to settle purchase invoices from suppliers. Clicking all shows unpaid invoices for all contractors. Selecting a specific contractor displays their unpaid invoices only.
The not assigned field shows documents without an assigned contractor. For example, if you issue a receipt in LoMag, sometimes the buyer is anonymous. Such a receipt appears under unassigned documents.
You can use the search field to find a specific contractor.
There is also an option to filter by invoice type.
This is a quick option to settle outstanding invoices of a contractor. In the background, the system creates appropriate documents, whether it’s a cash or bank transfer payment. The documents
and
automatically settle the invoice fully.
To use it, select the invoice you want to settle and click Settle autom..
We will be asked: ‘The payment status on settled documents will not be updated automatically. Do you want to disable setting the payment status based on the payment record?’
Then you will see a success message indicating the invoice was settled.
To use this, simply select the invoices (SHIFT + LEFT MOUSE BUTTON) you want to settle at once, then click
.
A success message will confirm the invoices were settled.
This option allows you to choose the payment method with the contractor. You can select cash or non-cash (e.g. bank transfer). You can also settle multiple invoices at once by selecting them with SHIFT + LEFT MOUSE BUTTON.
Select the invoice to settle this way. Then click on the Clear button and then select cash from the dropdown menu.
Edit the document as needed and save.
Proceed in the same way as described in section 2.1 of the manual, but this time select cashless.
This option allows you to start from the bank side — importing a bank statement from an Excel file or adding it manually.
To import from Excel, open the additional menu (see image below). Then click import and select the desired option.
Load your selected document list from your computer, matching the columns you wish to include in LoMag. Then click Impport BP.
To add manually, first select the contractor for whom you want to settle the invoice. Then select the invoice(s).
Click Add and choose the desired option from the list. The program automatically displays the amount due for the contractor. Creating and editing documents such as Bank Receipt, Bank Withdrawal, Cash receipt, Cash Disbursement was covered in previous guides.
It’s worth mentioning that if the payment exceeds the due amount, LoMag shows an overpayment in the "Other" field.
