In the reservation module, the LoMag warehouse software allows us to reserve goods. A reservation can be made without specifying a return date or for a specific time range. This is especially useful when the user often uses another module, namely the rental module. The program then blocks issuing documents (rental documents and invoices) if the quantity is lower than the warehouse stock reduced by reservations within a specific date range.
To reserve goods, click the Reservations module and select the first option from the drop-down menu, which is Reservation. This operation will display a new window with the list of reservation documents.

Pressing the Add button opens a new window where the LoMag user can fill in the reservation document details.

Select the contractor and reservation start date from the drop-down list, then use the Add button to open a new window where the goods to be added to the document are selected. Pressing the OK button adds the goods to the document.

The reservation for the given contractor will be saved in the software database. You can leave the window by pressing the Save and close button. You can also print a reservation confirmation document for the customer by pressing the Print document button. LoMag also allows generating other documents based on the above-issued document, select the appropriate option from the drop-down menu.

The new document is now visible on the reservation list. We can notice that this entry does not contain an end date because no reservation end date was defined. This can be changed by editing the document, either by double-clicking it with the left mouse button or by using the Edit button.

When editing the document, check the option 'reservation end date', which will activate the calendar field on the right side, where the reservation end date for the goods included in the document should be selected.

In the first step of the above instructions, a product was reserved for a selected rental period and quantity. In the rental module, a list of issued documents is displayed. The Add button is used to create a new document, where the customer and rental period should be specified. After selecting the appropriate dates and adding the product to the document, the system displays information about the current stock level and the quantity already reserved.

If we try to place rented skis on the document and press OK, the LoMag warehouse software will display an error in the form of a red exclamation mark next to the declared value. If the user places the mouse cursor over this exclamation mark, they will see that the item cannot be placed on the document in that quantity because one unit is reserved in this date range. The maximum quantity that can be placed in this case is 19 pcs.

If the rental date selected is later than the reservation end date, currently in stock can be placed on the document, because the reservation has already expired – which is also indicated by the item selection window.

If too many goods have been reserved and we urgently need to issue some goods, we can deactivate the reservation. This option unlocks item availability without deleting the document. After issuing the goods, the reservation can be activated again to prevent issuing the goods in situations such as receiving a new delivery into the warehouse (in order to keep the goods for the contractor).
To do this, edit the active reservation and press the Deactivate button at the top of the window. The program will display a new window in which the decision must be confirmed by pressing YES.

On the reservation document list, the status will change to inactive. Performing this operation will allow us to issue of Elan skis on the rental document from point two of this guide during the dates that were previously blocked due to the active reservation. To activate the reservation again, click the Activate button.

If a reservation document has been issued correctly, the LoMag user can automatically create a rental document with the parameters entered in the first document. To do this, select the Generate WY option from the drop-down list.

In the screenshot above, you can see that the contractor data, start and end dates, as well as the goods and their quantities, have been automatically transferred to the rental document. The LoMag user only needs to enter the prices and issue the document.

The LoMag warehouse software provides the option to generate a Customer Order (ZO) document, from which a reservation document can be generated directly. To do this, go to the Documents module and select Customer Orders from the drop-down list, or use the F9 key. This will display a list of all available customer orders.

To add a new Order from customer document, click the Add button. Double-clicking an existing document on the list or using the Edit button will edit an already existing document. The screenshot below shows document editing.

By pressing the down arrow button, the LoMag warehouse software will expand the list of available actions for this document. To create a reservation based on the issued Order from customer document, select the Reserve goods option.

This operation will generate a new document to which the data from the customer order document will be transferred, including contractor, date, and goods with correctly transferred quantity. Only the reservation term remains to be specified – whether it is indefinite or has a reservation end date.

Generating a warehouse issue document Generat a GIN in the reservation edit window will automatically deactivate the active reservation. This is because the reserved goods have been issued and the reservation is no longer valid.

Using the item search engine in the LoMag warehouse software, you can check the stock level of goods and the number of their reservations. To do this, the user should click the Find icon, which will display a new window with the Items tab opened by default. There, click the refresh button Refresh so that results appear in the list.

To add an additional column to the list of searched items, the LoMag user must right-click any column and select the Column Layout option. This will display a window where you can configure which columns should be visible in the item list. Find the Reservations item in the hidden columns and move it to the visible columns by double-clicking it or selecting it and using the arrow button. Pressing the OK button will apply the changes to the search list.

An additional column has been added to the searched item list, showing the total quantity of actively reserved goods on documents.

To open the item register list, the user must use the Items module and select Item Register from the expanded menu. This will display the list of available goods in the warehouse. Add the additional column in the same way as in point 6 of this guide. After performing this operation, the user will be able to view the number of reserved goods.

To display reports of current, completed, or currently active reservations, use the Reservations module and choose the Reserved Goods Report option from the drop-down list. This will display a list of reservations with the year, quarter, and month related to the current date set by default.

In the reports window, reservations can be filtered by product name, customer, or reservation status (active, inactive, or all). It is also possible to define a specific date range in the lower-left corner of the window. To export the list of documents to an Excel file, use the Export to Excel button, and to print the report, use the Print button.
